Print-Ready: The Ultimate Checklist

As the crisp autumn air sets in and the days grow shorter, the season brings a fresh wave of trade and corporate events, signaling a busy period for marketers, event planners, and PR professionals. While there is no such thing as “the perfect event,” you can achieve excellence through careful planning and attention to detail.

But make no mistake, event management is tough work! 

Events of all sizes have a requirement for design and print services. These materials help to ensure smooth communication and branding consistency. Hacketts can help you with all elements of design, print, production and fitting for your event.

Delegate Material

Some the delegate materials you might need include:

  • Invitations: Consider the style, format, and delivery method (physical or digital) of your invite. Our in-house design team can turn your text document into something enticing and welcoming. Also consider if you need a batch of printed invitations for VIPs, special guests, and key stakeholders.
  • Event Program: A detailed schedule of the event including timings, sessions, speakers, and activities. This can be in the form of a booklet, brochure, or flyer.
  • Registration packets: Include event materials, agendas, maps, and any other relevant documents.
  • Name Tags/Badges/Lanyards: Customised name tags or badges for attendees, staff, volunteers, and speakers. These should include the individual’s name, company, and position/title. Remember, no pins that might damage peoples clothes!

Signage
  • Directional & Informational signage: Guide attendees to different areas within the event venue. Display important information such as registration desks, restrooms, emergency exits, and Wi-Fi access points.
  • Maps and Floor Plans: Printed maps or floor plans of the event venue, highlighting key areas and amenities.
  • Sponsorship signage: Acknowledge event sponsors with branded signage throughout the venue.
  • Banners and Backdrops: Large banners and backdrops featuring the event logo, sponsors’ logos, and any key messaging or branding.
  • Posters: Eye-catching posters to promote various aspects of the event, such as keynote speakers, workshops, or entertainment.

Other:

Menus: Display menus for catering services or food vendors.

Table tents: Provide information about menu items, sponsors, or event activities on tables.

Safety and Emergency Materials: Print and display emergency evacuation plans and procedures. First aid instructions or contact information for medical assistance.
